Job Purpose

This role supports the Parts Business Administration team by ensuring effective operations, system controls, and process governance across activities that directly impact transaction processing, material flow, inventory management, and balance sheet integrity. The position is responsible for maintaining and enhancing operational controls, system access management, and tools that drive efficiency, accuracy, and compliance.

 

Key responsibilities include ensuring the accurate recording of transactional activity, including Sales and Cost of Goods Sold (COGS), supporting inventory management processes, maintaining compliance with SOX requirements and divisional controls, and identifying opportunities to improve business processes and operational effectiveness. These activities and controls play a critical role in achieving financial objectives, ensuring reporting accuracy, and supporting overall business performance.

 

This role requires the development of deep functional expertise across business processes and systems. The individual will provide hands-on troubleshooting and user support, serve as a subject matter expert for operational and system-related issues, and proactively identify and implement opportunities to improve efficiency, reliability, control effectiveness, and the overall user experience. Through continuous improvement initiatives, this position contributes to enhanced operational performance and supports the division's strategic and financial goals.

Key Accountabilities

System Expertise & Ownership: 
•    Develop and maintain comprehensive end-to-end knowledge of business systems, including integrations, workflows, configurations, and process dependencies.
•    Serve as the primary Subject Matter Expert (SME) for system functionality, operational processes, and user support.
•    Create, maintain, and enhance system documentation, including process flows, configurations, controls, procedures, and best practices.
•    Monitor and evaluate system updates, enhancements, and emerging technologies to identify opportunities for improved functionality, efficiency, and user experience.
Operational / Technical Support: 
•    Serve as the primary point of contact for system-related inquiries, issue resolution, and user support, ensuring timely and effective responses.
•    Troubleshoot and resolve system errors, data discrepancies, process exceptions, and workflow failures to minimize operational disruption.
•    Coordinate with IT teams, system administrators, and external vendors to escalate and resolve complex technical issues while maintaining ownership and accountability through resolution.
•    Monitor system performance, data integrity, and operational processes to proactively identify risks, prevent disruptions, and ensure business continuity.
•    Support daily business operations by maintaining the reliability, accuracy, and functionality of critical systems and processes.
Issue Resolution & Root Cause Analysis: 
•    Conduct root cause analysis to identify and resolve recurring system, process, and data-related issues.
•    Manage and track incidents through resolution, ensuring timely escalation, effective communication, and stakeholder alignment throughout the issue lifecycle.
•    Develop, implement, and monitor corrective and preventive actions to reduce risk, improve system stability, and prevent issue recurrence.
•    Maintain comprehensive records of incidents, resolutions, and key learnings to support knowledge sharing, continuous improvement, and organizational effectiveness.
Process Improvement & Efficiency:
•    Identify inefficiencies, process gaps, redundancies, and bottlenecks in business operations and system utilization.
•    Analyze current workflows and recommend, develop, and implement process improvements that enhance efficiency, productivity, accuracy, and user experience.
•    Partner with cross-functional business teams to evaluate, redesign, and standardize processes to improve scalability, effectiveness, and operational performance.
•    Leverage system capabilities, including automation, reporting, workflow tools, and integrations, to streamline operations, reduce manual effort, and strengthen controls.
User Enablement & Training:
•    Provide guidance, training, and ongoing support to users on system functionality, process execution, and best practices to drive effective and consistent utilization.
•    Develop, maintain, and enhance user documentation, standard operating procedures, job aids, training materials, and knowledge resources.
•    Promote the adoption of standardized processes, controls, and tools to improve operational efficiency, compliance, and data integrity.
•    Serve as a change champion by supporting the implementation of new system features, process enhancements, and technology solutions, ensuring smooth adoption across the organization.

Qualifications, Experience, and Skills

Minimum Educational Qualifications:

  • Bachelor's degree in Business, Information Systems, Operations Management, or a related field with a minimum or equivalent relevant experience

Minimum Experience:

  • Minimum of 3 years of experience in systems support, business operations, business process management, or a related role, with demonstrated experience troubleshooting systems, supporting users, and driving process improvements.

Other Job-Specific Skills:

  • Strong analytical, critical thinking, and problem-solving skills with the ability to identify root causes and implement effective solutions.
  • Proficiency in SAP and Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook.
  • Excellent written and verbal communication skills, with the ability to effectively collaborate across all levels of the organization.
  • Working knowledge of supply chain and logistics principles, including Incoterms, USMCA requirements, and international trade processes.
