About this Role

The Shop Scheduler is responsible for executing and maintaining the shop repair schedule to ensure efficient workflow, reduced downtime, and timely completion of equipment repairs. This role requires a strong mechanical background to understand repair needs, develop accurate job estimates, coordinate parts, and maintain a structured 2-week rolling schedule. The Scheduler works directly with the Shop Foreman, Operations Manager, and Fleet Manager, executing priorities set by leadership.

 

Pay: This is an exempt/salary position.  The pay range is $75,000 - $85,000. Pay may vary depending on your location, skills, and experience.

 

Location/Travel Requirements: This role is based onsite in Rapid City, South Dakota. No travel is required. 

 

What You'll Do

  • Develop and maintain a rolling 2-week shop schedule, adjusting priorities daily to support operational needs, equipment breakdowns, parts availability, and workload changes.
  • Review, prioritize, schedule, and track work orders and inspection reports to ensure timely completion of repairs and maintenance activities.
  • Utilize mechanical knowledge to evaluate repair requirements, estimate labor hours and parts needs, and prepare repair estimates for leadership review.
  • Coordinate the procurement, ordering, and tracking of parts and materials while managing vendor relationships and communicating potential delays.
  • Serve as the primary liaison between the Shop Foreman, Operations Manager, and Fleet Manager to ensure alignment on priorities, schedules, and fleet requirements.
  • Communicate repair status, schedule updates, equipment downtime, and completion timelines to stakeholders and leadership teams.
  • Monitor shop workflow, schedule adherence, and resource utilization to identify and resolve bottlenecks related to labor, parts, or scheduling conflicts.
  • Support continuous improvement initiatives that enhance shop productivity, reduce turnaround times, and maximize equipment availability and fleet readiness.

What You'll Bring

Required

  • Strong mechanical background (fleet, heavy equipment, trucks)
  • Experience in a shop or maintenance environment
  • Ability to understand and interpret work orders and repair needs
  • Strong organizational and scheduling skills
  • Basic computer skills (Excel, maintenance systems, work orders)
  • Strong communication and coordination skills

Preferred

  • Experience in shop scheduling or dispatching
  • Familiarity with maintenance systems (e.g., Equipment360)
  • Experience with parts ordering and vendor coordination
